30% of the work week reclaimed & more inspections completed per tech
Our techs no longer spend 30% of their week back at the office typing up reports.
The time we got back turned into 2 to 3 more inspections per tech, every week.
Reports are filled out, signed, and sent before the tech ever leaves the job site.
The Challenges
3D Security runs on recurring revenue — inspections and monitoring across a book of business that's roughly 70% security systems and 30% fire alarm. Every one of those inspections generated paperwork, and every piece of paperwork had to be handled twice.
Technicians completed inspections in the field, then drove back to the office to type the results into an Excel-based report. That second pass consumed close to a third of the average tech's week, and it consistently ate the end of the week — Fridays became office days rather than billable field days. Reports reached customers late, or only after someone remembered to send them.
Finding a completed report afterward meant digging through nested folders on a server. Access depended on being at a desk, knowing where to look, and hoping the file had been saved in the right place.
The Solution
3D Security moved its inspection reporting onto Joyfill and rebuilt its existing report formats inside the platform. Because the forms were fully customizable, the team was able to replicate its Excel layouts almost exactly — no retraining the field on an unfamiliar document, and no compromise on what the authority having jurisdiction expects to see.
Technicians now complete the entire report on a mobile device at the job site. Failed items are documented with photos attached directly to the deficiency, which gives the customer a clear picture of what needs attention and makes the report read as a professional deliverable rather than a checklist. When the inspection is finished, the tech sends it from the field.
Everything lands in one centralized system behind a single login. Office staff pull up any submission instantly instead of navigating server directories, and account administration — assigning users, controlling which forms can be edited, sending out reports — is handled from the same place.
The Results
Eliminating the office report-writing pass returned roughly 30% of each technician's week. That time went straight back into the field: 3D Security estimates 2 to 3 additional inspections per technician per week, without adding headcount.
Reports now reach customers the same day, sent from the job site rather than depending on a technician remembering to follow up later. And with every submission stored centrally, the office has immediate access to any inspection record instead of searching folder structures.
For a business built on recurring inspection and monitoring revenue, more inspections completed per week with the same team is a direct expansion of capacity.
